Voxment Privacy Policy

This privacy policy explains how the Android app Voxment (hereinafter referred to as "the App") handles user data.

1. Information We Collect

Audio recordings: The App records voice memos for transcription and note-taking purposes. Recordings themselves are stored only on the user's device (and in the user's own Google Drive backup, if enabled). How audio is handled during transcription depends on the mode the user selects — see "Transcription processing" below.

Transcription processing: The App supports two transcription modes.

(a) On-device transcription (default): Audio is transcribed entirely on the user's device using a local speech-recognition model. No audio data is sent to any external server.

(b) OpenAI features (optional): When the user enables an OpenAI-powered feature, the App may send the following information directly from the user's device to OpenAI over HTTPS. This information does not pass through servers operated by MoiraiApps.

  • OpenAI Whisper transcription: audio recordings or audio chunks
  • AI summaries: voice memo transcripts
  • Sounding Board: typed text, conversation history, project context, selected voice memo transcripts, and audio chunks when voice input is used
  • Voice memo search in Sounding Board: search terms and details of matching memos, including recording time, transcript, duration, and location when available

This information is used to transcribe audio, generate AI summaries or replies, and find relevant past voice memos. OpenAI features are optional. On-device transcription remains available without sending audio or text to OpenAI.

Location data (GPS): Location data may optionally be attached to a voice memo. It is normally stored on the user's device or in the user's own Google Drive backup. When the user uses voice memo search within Sounding Board, location data associated with a matching memo may be included in the information sent to OpenAI. Location data is not sent to servers operated by MoiraiApps.

OpenAI API key: The OpenAI API key entered by the user is encrypted and stored on the user's device. It is used only to authenticate direct requests to the OpenAI API and is not transmitted to or stored on servers operated by MoiraiApps.

Google Drive access: The App may access the user's Google Drive only for automatic backup and restore. The App does not collect or store the user's Google account credentials.

Crash and performance data: The App uses Firebase Crashlytics to collect crash reports, including device model, OS version, app state at the time of the crash, and a non-personally-identifiable installation ID. This data is sent to Google servers and used solely to identify and fix bugs.

2. How We Use the Information

Information collected or processed by the App is used to record and manage voice memos, transcribe audio, generate AI summaries, provide Sounding Board conversations and voice memo search, back up data to Google Drive, and improve app quality.

When an OpenAI feature is used, the data described above is sent directly to OpenAI. Crash reports and device information are sent to Google through Firebase Crashlytics. MoiraiApps does not receive or store these audio recordings, transcripts, location data, or API keys on its own servers.

3. Data Retention and Deletion

Recordings and transcribed text are generally stored on the user's device or in the user's own Google Drive. Uninstalling the App deletes local data, and the user can manually delete backups stored in Google Drive.

Data sent to OpenAI when an OpenAI feature is used is handled under OpenAI's privacy policy and API data usage policies. The App disables data storage in its requests to the Responses API. According to OpenAI, data submitted through the API is not used to train models by default, although abuse-monitoring logs may be retained for up to 30 days. OpenAI's current policies govern the actual retention period and handling of the data.

4. Third-Party Services

OpenAI (Whisper API and Responses API): Used for audio transcription, AI summaries, Sounding Board responses, and voice memo search. When these features are used, the data described under "OpenAI features" is sent directly from the user's device to OpenAI. Firebase Crashlytics (Google): Used to improve app stability. Crashlytics collects crash logs and device information, but does not collect personally identifiable information. For details, see the Firebase Privacy Policy.

The App does not use any advertising or tracking services.

5. Policy Updates

This policy may be updated occasionally. Updates will be posted on this page.
